Educational Links

Parents involvement with Proctor School has created a great parent/school relationship. One of the easiest and best ways to become involved at Proctor School is through a PTA committee. We are always looking for parents who want to lend a hand. Can you only help on weekends?

Only have a couple of hours available? No matter how much time you have to commit, there is a way for you to help!  Please take a look at the list below and see how you can help!

New comprehensive committee information is being added/updated. What does the committee do? What is expected of committee members? How much time is required?  Take a look below.

Not sure what committee you want to be on? Or you can only commit, as little as, an hour. That's OK. We have a "worker bee" list!  It's a group of parent that can help pitch in to lend a hand to a committee or event that needs assistance. Look for the list at registration.

We will be working through the summer and fall months with last years chairpersons to get you the most reliable information.  Below is a draft and not all information is up-to-date but we are working on it. Thank you for your interest and patience.

Proctor PTA Committee Descriptions

Back to School BBQ
What: Organize the Back to School BBQ event. Members’ set-up and break down event area, maintain the BBQ, and pickup drinks for the event (purchased by the PTA). Coordinate entertainment options. Proctor families provide the rest of the items.
Your Commitment: A meeting prior to event. Depending on the number of members, 1 to 2 hours the day of the event. We try to have three groups for this event: Setup crew, event crew and clean up crew.

Book Fair
What: Sell books during the Back to School Night  and Open Houses events at the school. Includes set-up and brake down of selling area.
Your Commitment: Depending on the number of members, 2 to 3 hours at each event.

Boxtops for Education
What: Promote throughout the school year, students to bring in the BoxTops and Labels off popular food items and turn them in for money.
Your Commitment: 2 or 3 meetings throughout the school year. 1 or 2 hours monthly as needed.

Campus Beautification
What: Coordinate work parties to beautify the Proctor gardens and common areas
Your Commitment: 2 or 3 meetings throughout the school year. Depending on the number of members, small amount of additional time on select weekends to work on gardens.

Carnival
What: Organize the Fall Carnival event. Members’ set-up and break down event area. Coordinate entertainment options. Proctor classrooms decorations and staff booths.
Your Commitment: 1 or 2 meetings prior to event. Depending on the number of members, 2 to 3 hours the day before the event and 2 to 3 hours the day after the event.

Community Outreach
What: During Thanksgiving and December Holidays coordinate food donations and deliver to Community center
Your Commitment: This is a coordinator position. 1 or 2 persons are needed.
When: Twice a year, November and December

Emergency Preparedness
What: Maintain fresh supplies; coordinate with school staff; shelters, drills, and education to prepare for any disaster.
Your Commitment: Depending on the number of members, 3 to 4 one hour meetings

Holiday Secret Shop
What: Coordinate getting gifts orders and displayed; promote Friday night and Saturday sale for students to buy inexpensive gift for family during the holiday season.
Your Commitment: 1 or 2 committee meetings, usually in November. Depending on the number of members, maybe 1 to 2 hours at event.
When: December

Hospitality
What: Bring coffee, drinks and treats to PTA meetings (will be reimbursed)
Your Commitment: This is a coordinator position. 1 or 2 persons are needed. 1/2 hour prior to each PTA meetings.
When: First Tuesday of each month, Throughout the school year.

Media Coordinator
What: Coordinates and assist the PTA board and committee chairpersons with publishing PTA events and activities. This includes helping to standardize fliers and content (ie Proctor Post, Website, Monthly Emails, take home fliers, and CV Forum). One of this committee’s tasks will be to help school staff in producing bi-weekly Proctor Post.
Your Commitment: 1 or 2 committee meetings at beginning of the year. Depending on the number of members.
When: Throughout the school year
Additional information: Should have email. Consider yourself detail oriented.

Open House Coordinator
What: Coordinate light supper (pizza) during Open House activities
Your Commitment: 1 or 2 committee meetings, usually in April or May. Depending on the number of members, between 1 to 2 hours at event.

Parent Education
What: Attend and report back information from monthly CVUSD meetings for PTA leaders.
Your Commitment: This is a coordinator position. 1 or 2 persons are needed. Attend CVUSD meetings.
When: First Tuesday of each month (PTA) and CVUSD Board Meeting, Throughout the school year.

Parent Education Program (PEP)
What: The Parent Educator Program (PEP), is a project of the Center for Human Development, and trains community volunteers to present health promotion curriculum to elementary students in grades K-6.  The program is based on the TRIBES process and is designed to reduce risk factors for adolescent drug use and to promote resiliency in children.  Parent volunteers receive a 21-hour training in a process which enables them to co-facilitate an interactive curriculum in the classroom.  The lessons they will deliver are designed to promote responsible decision making, resistance skills, self-esteem, and positive peer interaction.  The newest updates to our curriculum will address cyber-safety and internet etiquette.
Your Commitment: 21 Hours of training, and one hour per week in the classroom for 6-14 weeks.

Photographer
What: take pictures during PTA and school functions do annual slide show for PTA and students. Be able to provide pictures to use on the PTA website.
Your Commitment: This is a coordinator position. 1 or 2 persons are needed.

FAME
What: Coordinate a docent program to present various forms of art to the classrooms. Also, coordinate with school staff the hanging up and removing of student art for the school’s annual art show.

PTA Room Representative 
What: Each classroom at Proctor counts on a group of approximately four to six parents to volunteer to became Room Representatives.  Room Representatives help coordinate school/classroom events (i.e., Treat sales, parties, picnics, etc.). Room Representatives are also the contacts between home and school for a small group of classroom families to advise them of upcoming events and to request volunteers and supplies for those events.  It is not mandatory for Room Representatives to attend every party/event planned for their child's classroom. There are usually other parents who enjoy attending parties and helping out. The majority of Room Representative duties can be completed from your home. Each classroom will also need a Head Room Representative to act as the lead liaison between the other Room Representatives and the teacher.

Science Night
What: Coordinate with Lawrence Berkeley Hall of Science and parent volunteers to put on an evening of fun

What: Schedule and promote a night of skating just for Proctor School at Golden Skate in San Ramon

What: Procure and distribute Proctor T-shirts and sweatshirts and other Proctor logo items

What: Coordinate decorating school area and provide a theme luncheon for Proctor staff.

Volunteer Resource Coordinator
What: Coordinate volunteers to help at events and activities at Proctor School.  Communicate with chairpersons regarding addition volunteers need for events and activities. Communicate and coordinate with "worker bee" list parents.
Projects:
   - School Office - Coordinate volunteers in office on projects as needed for teachers such as copying, laminating, binding.
   - School Pictures - Help coordinate flow of students into photographers for the two-school picture taking days.
   - Eye Exams - Assist CVUSD Nurse and professional eye doctors in giving eye exams to students in two grades.

Your Commitment:
This is a coordinator position. 1 or 2 persons are needed.

Welcome Buddy Parents
What: Committee members would call new Proctor families, between registration and the beginning of school, welcoming them to the school. They should answer questions and point them to resources at Proctor (PTA, Web, buddy committee, or school staff). Buddy parents will be available to help answer questions about how the school works and to simply make the transition to a new school easier.
Your Commitment: 1 or 2 committee meetings. Depending on the number of members, to make between 5 and 10 phone calls to new Proctor
parents.
When: Between Registration and first weeks of school.

Nominating Committee– Find candidates for PTA Board positions for following school year.

Fifth Grade Picnic
– Coordinate an end of school year at local picnic site.

Proctor Registration
– Help Proctor Secretary by coordinating helpers at Registration packet stuffing and during Registration Days. Make sure all PTA information is copied and ready for stuffing.
